Part-time Executive Assistant (Contracted Position)

Love the mission of helping women live their best lives? Jennifer Dent Brown of LUXE Life Coaching, LLC wants to hire YOU as a part-time Executive Assistant.


This EA position may be right for if...

  • You have experience as an Executive Assistant
  • You have the exceptional ability to anticipate the needs and preferences of the CEO. This means you’re not constantly relying on the CEO’s direction for every step of the job
  • You’re not just focused on completing tasks, you’re focused on creating outcomes for the CEO and the company
  • You have experience in excellent client support and understand and pick up technology basics quickly
  • You have impeccable scheduling skills - travel, appointments, client sessions, deadlines, content deadlines, etc. and can perform effective scheduling triage
  • You are proficient at creating systemized processes to boost organizational effectiveness
  • You embrace technology with open arms and get excited about learning new systems and ways of doing things
  • You are organized, nothing slips through the cracks. You are able to keep multiple plates spinning without any of them falling
  • You are super resourceful
  • You are a critical thinker with a desire to understand others
  • You over-deliver as a default
  • You are responsive (respond quickly that you have taken the assignment/communication)
  • You deeply want your work to MATTER. You want to make a difference. You want to be a part of something bigger than yourself
  • You consider yourself a problem solver that doesn't get freaked out with things you don't quite understand...instead you look at it as an opportunity to develop your skill-set even further
  • You are on East Coast Time or willing to work those hours
  • You have flexibility and are available to work occasional evenings, and weekends for virtual events and are willing to travel for in-person events
  • You are an excellent written and verbal communicator

These will be the results you will be accountable for…

  • Learn how to prioritize new work alongside older tasks
  • Enhance knowledge of the Stop. Dieting. Forever. process by reading and watching content
  • Making the job of CEO easier by being an essential business partner
  • Accuracy with webinar links, emails, scheduling, and communications with my clients
  • Timeliness with completion of assignments and projects as well as check-ins
  • Timeliness and accuracy with client service and onboarding of new clients
  • Managing email and social media pages
  • Lite video editing
  • Clear, open, frequent, almost over-communication (even if you hear crickets)
  • Keeps processes up to date in Team Member folders including videos
  • Attending weekly team meetings
  • Watching any and all training for the job
  • Managing private community Facebook group with the current membership roster

You must have working knowledge and experience with:

  • G-mail, MS Teams, Excel, Canva, Slack, Motion, Facebook group administration, Asana, Adobe
  • Experienced with Flodesk, Leadpages, Square Space, Zoom, basic video editing
  • If you are not familiar with Searchie, you are willing to learn it

 

This position is NOT for you if:

  • You are not available between 10 am and 6 pm ET Monday thru Friday, and occasionally on weekends 
  • You love people but technology freaks you out
  • You have personal drama.
  • You want a side job so you can “start your own thing”
  • You consider yourself more of a creative free spirit than an organized technology lover
  • You are not SELF-DIRECTED or have the ability to THINK-AHEAD. If you cannot anticipate what needs to be done or if you need to be constantly reminded of what needs to be done - please do not apply!

In addition to the above:

  • Has experience and/or an understanding of the coaching industry (or desire to learn)
  • Wants to be part of MY team, and isn't an assistant for multiple clients (needs a dedicated team member)
  • Design experience is a plus, but not required
  • You love following processes with an eye for continuous improvement
  • Experience with event planning (getting quotes, managing vendors and contracts, etc.) would be fantastic

COMPENSATION

Negotiable,  flat fee paid monthly with a quarterly bonus
