OPERATIONS ASSISTANT

LUXE Life Coaching is looking to work with an Operations Assistant to create a welcoming, friendly, and luxe client experience for private and group clients. This is a contracted role, starting at 20 hours/month with a 90-day chemistry period. This role will require completing administrative tasks, content creation and repurposing, SOP creation and maintenance, client management, and lead generation. This person will be excited by learning how to run the front end and the back end of the company. The idea of being a long-term team member in a fast-paced, high-vibe, hands-on environment with a heart to serve is intriguing. 

OUTCOMES/OWNERSHIP

  • Client management including onboarding, offboarding, and data tracking

  • Program support including scheduling group coaching calls, uploading recordings to member portal, scheduling FB posts 

  • Repurpose existing content to create new content for blog and social media posts

  • Create, manage, and update SOPs and a schedule to update quarterly 

  • Managing all aspects of lead generation including podcast pitching

  • Event planning

[ONGOING TASKS]

Team Management/Support

  • Develop weekly agendas and lead weekly team meetings with a standardized outline to give updates and insights on outstanding projects

  • Provide assets and links for contractors to do their responsibilities i.e. guest coaches have the links for coaching calls and login instructions, etc. 

  • Find, interview, and manage contractors to do one-off projects like video editors or web designers to update client testimonials page

Group Program Management: Stop. Dieting. Forever. 

  • Assist in the day-to-day management of the group program

  • Monitor client progress from onboarding to offboarding by tracking their progress in Airtable

  • Manage program calendar in AddEvent

  • Schedule group coaching calls in Zoom

  • Create time-stamped coaching call notes from weekly sessions

  • Upload video coaching calls to Thinkific and audio calls to private podcast

  • Write, create, and schedule weekly email reminders in Flodesk

  • Schedule “support station” virtual sessions throughout the month in Zoom and AddEvent

  • Create art and schedule FB posts to celebrate clients for birthdays, achieving forever weight, and other client wins

  • Assist in monitoring client activity in the Facebook group

  • Monitor the client care inbox and answer questions 

  • Track group coaching clients’ progress in Airtable

  • Report on goal achievement and progress

  • Billing, Follow up on missed payments

Private Client Management (1-5 clients)

  • Monitor private client progress from onboarding to offboarding

  • Track private client call attendance in Airtable

  • Send private client communications as necessary for missed sessions etc.

  • Send contracts and order gifts for new clients

  • Track the end date for all clients

  • Billing, follow up on missed payments, and processing late cancellation fees

SOPs and Admin 

  • Assist in maintaining SOP library and managing updates quarterly

  • Create new ones as needed

Content Creation and Repurposing - content repurposing training will be provided

  • Create social media graphics from Canva templates

  • Schedule social media

  • Upload and schedule emails

  • Repurpose existing content into other formats

  • Upload podcast episodes to Podbean and the website

  • Track and report on key metrics

  • Assist as needed in launches

Lead Generation

  • Create and manage pitching process to podcasts (pitching training will be provided) 

  • Find speaking engagements for Jennifer to apply

  • Manage existing referral program with current clients

  • Be creative!

Event Planning

  • Find and book space for small client in-person dinners (2-3 a year)

  • Fine, interview and book vendors for virtual client events (2x a year)

  • Plan annual LUXE Live Experience in September - this includes finding space, interviewing, booking, and managing vendors (photographers, videographers, MUA, etc), create minute-by-minute schedules for Jennifer and clients, put together event packets and gift bags for clients, manage communication among all vendors to ensure all needs are met and everyone has the necessary instructions to complete their role, coordinate with the  day of event coordinator, create event playbook to be repurposed for future events

[WORK EXPECTATIONS]

This is a role with a flexible schedule outside of our standing Weekly Call (TBD).

You are expected to have a strong internet connection that can handle video calls via Zoom.

[WORK SCHEDULE]

This is a contracted role, starting at 10 hours/month with a 90-day chemistry period. Additional hours are required during a launch and for virtual team planning days.

  • Plans ahead for time off making sure all tasks are covered and actually takes time off

  • Has no interest in being an entrepreneur long term

[A WEEK IN THE ROLE]

A regular week in the role: all tasks completed in the allotted time (5 - 10 hrs a week) 

  • You prepare the agenda in a Google Doc and meet with Jennifer and provide an update on the contractor project status (1 hour)

  • Check clientcare@jenniferdent.com inbox and answer questions (15 minutes)

  • Upload 2 weekly coaching calls (30 minutes)

  • Create/Update 3 SOPs around client onboarding in Whimsicle (2 hours)

  • Pitch 2 podcasts for Jennifer (1 hour)

  • Repurpose and create 5 - 10 captions for social media and schedule posts (2 hours)

  • You create and schedule session (coaching calls, support station events) email reminders for the upcoming month in Flodesk (30 minutes)

  • You post the weekly podcast episode on Podbean, create the show art, publish it on the website and create the show notes (30 minutes)

  • Send a confirmation calendar invitation and email to a podcast guest (15 minutes)

[COMPENSATION]

Flat rate $1,200 for 20 - 30 hours a month
